- Manage office supplies, consumable supplies, kitchen supplies, facilities supplies, medicine supplies, including ordering, restocking, and organizing inventories;
- Be the part in organizing meetings, events, and company activities, ensuring all logistical details are covered.
- Coordinate with engineering teams and external vendors for maintenance requests, repairs, and equipment servicing.
- Monitor the cleanliness and organization facilities in all areas of factory
- Manage maid and administration service providers to ensure that all areas deliver good service to employees / guests and to keep the working space clean, tidy and meet hygiene and safety standards.
- Monitor the performance of security, food service supplier that meet our requirement and renew contract annually
- Work with purchasing team to monitor bidding or renew contract - security, first aid, employee shuttle, maid, driver and office equipment
- Responsible petty cash of HR to support daily operations
- Collect and check administration costs to financial department and keep records
- Coordinate with all departments for travelling plan and expenses; ticket, accommodation and insurance
- Support employee’s welfare to check and expense claim; the medical expenses, travelling expenses, telephone expenses, utilities expense of employees and send to finance
- Handle and monitor employee loan: communicate, record and summary to finance
- Manage fleet card and stationery
- To be a key of HR team to develop employee journey, build employer branding and onboarding program
- To participate in HR projects and activities
- To support HR policies, HR procedure, compliance and internal audit
- General assigned by Line Manager
- Bachelor’s degree in Business Administration, or a related field
- Minimum of 3 years of experience in administrative or office support roles.
- Basic knowledge of office management systems and procedures
- Proficient in MS Office and other office software.
- Effective communication and teamwork skills.
- Attention to detail and a proactive approach to problem-solving.
